Job Title / Position: TRUSTY Construction Office Manager                                                                       

Reports To: President        

SUMMARY:        
The role of the Office Manager is to operate and maintain the day-to-day functions of the office
coordinating all front office processes, including bids support, job folders / close-outs, company filing system, travel,
implementation of administrative directives and various other submittals. The Office Manager supports the work of
several, Executives Account Managers, and Foremen to enhance construction efforts on multiple simultaneous
projects.


ESSENTIAL DUTIES AND OTHER RESPONSIBILITIES: INCLUDE THE FOLLOWING (NOT IN ANY ORDER):  
OTHER DUTIES MAY BE ASSIGNED AS NEEDED.

•        
Answers incoming telephone calls, determines purpose of callers, routes to appropriate individual or takes       
       
messages. Ensures clients, vendors, and employees are handled in a professional and courteous manner.
       
Takes, and delivers messages when appropriate personnel are unavailable. Answers questions about
       
company and provides callers with address, directions, and other information.

•        Retrieves and copies all bid documentations. Studies specifications of contract / bid requirements with

        
executive team to assist in the development and submittal of bids. Assist in the preparation of customer
        
proposals packages.

•        Drives the assembly by the office staff and ensures completeness of job packages for each project to be

        
handed over to job foreman.

•        Drives the completion by the office staff and ensures timely completion of all job close packages ensuring

        
copies are sent to the customer and other copies are maintained in the company files.

•        Welcomes on-site visitors, determines nature of business, announces visitors to appropriate personnel.


•        Creates and prints client correspondence and other documents when necessary.


•        Performs all clerical duties as needed, such as typing, filing and collating. Establish and maintain filing

        
systems. Maintain office equipment.

•        Orders and is responsible for managing all office supplies.


•        Receives all incoming mail and packages and routes to appropriate people / departments.


•        Promotes harmonious relations among clients, owner, and foreman by maintaining close communication while

        
not engaging in gossip or sharing of confidential information at any level.

•        Responds to unforeseen issues and challenges during the production process.


•        Release liens to subcontractors, request certificates of insurance





QUALIFICATIONS

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The

MUST Have: 1) Microsoft Office experience and 2) Telecom (wireless) experience.


EDUCATION and/or EXPERIENCE  

Associate’s degree from a two-year college or university and one to two years’ related experience and/or training; or
equivalent combination of education and experience. 2-4 years in administrative support. Prior construction office
management experience is a plus. Should be a Notary Public.


LANGUAGE SKILLS
Ability to read and comprehend simple instruction, short correspondences, and memos. Ability to write simple
correspondence. Ability to effectively present information in one-on-one and small group situations to clients and
employees of the company. Ability to present information and communicate effectively with customers, co-workers,
subcontractors, and general public.


MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and
decimals. Ability to calculate figures and amounts such as proportions and percentages. Ability to perform these
operations using units of American money and weight measurement, volume, and distance.


REASONING ABILITY
Ability to apply common sense understanding to carry out detailed but uninvolved written and oral instructions.
Ability to deal with problems involving a few concrete variables in standardized situations.


COMPUTER SKILLS
Ability to operate the following computer applications: MS WORD, MS EXCEL, MS PowerPoint and Microsoft Internet
Explorer. Demonstrated ability in QuickBooks is a mandatory requirement. Ability to type 50 words per minute.


PHYSICAL REQUIREMENTS
The employee is frequently required to operate multi-line telephone systems, computer, fax machine, printer, and a
copier. The employee is required to move around the office. The employee may be required to lift and move boxes,
packages, etc. up to approximately 20 lbs.
